Nexora Core Concepts

This guide explains the main parts of Nexora, what each one does and how they work together in daily business use.

How the concepts fit together

A business is the independent working area. It contains its own staff, customers, services, packages, rooms, appointments, groups, payment records, commission records and reports. A user may belong to more than one independent business and can switch between them; Nexora does not have a separate branch structure.

A service describes one piece of work. A package gives one customer a set number of uses. A session is one use of that package, understood through the customer's package balance and package-linked appointments; it is not kept as a separate item. An appointment places the work on a date and time and can connect the customer, staff member, service, package, room and group.

A group brings customers into one shared schedule, while every member keeps a separate customer record, package and remaining-session balance. Payment and commission records follow the work already entered in Nexora. Notifications tell users about supported events, and reports summarize the saved business information.

The 15 core concepts

Each explanation uses the same five questions so the differences stay clear.

Business

What it is
An independent working area for one service business and its information.
What it does
Keeps the business's daily work and records together and separate from other businesses.
What it connects to
It has an owner and may include staff and customers who belong to that business.
Do not confuse it with
A branch. Nexora has no separate branch structure. One user can belong to more than one independent business.
Example
A user can own Center A and also work for Studio B; each appears as a separate business.

Personnel

What it is
A person listed by the business to carry out or manage work.
What it does
Lets the business assign appointments and follow work and commission amounts by staff member.
What it connects to
A personnel entry belongs to one business and may be linked to that person's Nexora account.
Do not confuse it with
A customer or a separate manager role. A staff member's access is set through an access level.
Example
Ayşe is added to Studio B's staff list and assigned to Tuesday appointments.

Role and access level

What it is
A role says whether someone is an owner, employee or customer. Full, standard or restricted access further sets what an employee can see and do.
What it does
Keeps each person's view and actions suitable for their relationship with that business.
What it connects to
It depends on the person's membership in a business and, for employees, their personnel entry.
Do not confuse it with
A job title. Nexora does not add a separate manager role; broader employee access is handled with the full access level.
Example
An owner controls the business, while a standard-access employee handles the daily work available to them.

Customer

What it is
A person for whom a business keeps appointment, package and payment information.
What it does
Brings that person's appointments, package rights and amounts received or due into one history.
What it connects to
A customer belongs to one business and may be linked to a Nexora account for the customer view.
Do not confuse it with
An employee or an automatic app account. A business can keep a customer entry without linking an account.
Example
A studio adds Deniz as a customer; when the record is linked to Deniz's account, Deniz can view their own appointments.

Service

What it is
A named piece of work with a duration and price, and an optional commission rule.
What it does
Describes what the business provides when it creates an appointment.
What it connects to
It belongs to a business and can be linked to appointments and staff commission rules.
Do not confuse it with
A package or session. A service describes the work; a package describes repeated uses.
Example
A business creates a 50-minute consultation service priced at 500 lira.

Package

What it is
An offer with a name, session count, session duration and total price. When assigned to a customer, it also keeps that customer's remaining-session balance.
What it does
Helps the business follow repeated work for one customer.
What it connects to
The package offer belongs to the business; the customer's package connects that offer to one customer.
Do not confuse it with
An appointment or an expiring membership. Packages have no start, end or expiry date and cannot be frozen or transferred between customers.
Example
An eight-session Pilates package starts with eight remaining uses for the customer.

Session

What it is
One use of a customer's package. Nexora understands it from the package balance and package-linked appointments instead of keeping a separate session item.
What it does
Shows how many package uses have been consumed and how many remain.
What it connects to
It depends on a customer's package, a linked appointment and the appointment's outcome.
Do not confuse it with
The appointment itself. A pending future appointment does not reserve or deduct a package use; completed and paid-cancelled appointments count as used.
Example
After three counted appointments from an eight-session package, five uses remain.

Appointment

What it is
A dated and timed entry for work that the business creates for a customer.
What it does
Places the work on the calendar and keeps its staff, service, package, room, outcome and payment details together.
What it connects to
It belongs to a business and can connect to a customer, staff member, service, customer package, room or group.
Do not confuse it with
Customer self-booking or a package session balance. Customers cannot create or change appointments, and a pending appointment does not use package rights.
Example
The owner creates Deniz's consultation for Tuesday at 14:00 and assigns Ayşe.

Group

What it is
A set of customers whose future appointments can follow a shared recurring plan.
What it does
Lets the business manage future day, time, staff member and room changes together for the group.
What it connects to
It belongs to a business, contains customers and can use a recurring schedule and member packages.
Do not confuse it with
One appointment, one room or one shared package. Each member keeps an individual package and balance.
Example
A Monday and Wednesday Pilates group has a shared timetable for its members.

Group member

What it is
A customer included in a group while keeping their own customer and package information.
What it does
Lets one timetable serve several people without combining their individual package rights.
What it connects to
It connects a customer to a group and may connect that customer to their own package.
Do not confuse it with
A shared group balance. Members do not spend from one common package.
Example
Ali and Ece attend the same group; Ali has two uses left and Ece has five.

Room

What it is
A named place choice that a business can attach to an appointment or group schedule.
What it does
Shows where the planned work will take place.
What it connects to
It belongs to a business and may be selected for appointments or future group entries.
Do not confuse it with
A branch or a capacity planner. A room is a name choice; Nexora does not keep room capacity or general equipment availability.
Example
The business selects Studio 1 for the Wednesday group.

Payment record

What it is
An amount recorded for an appointment as planned or received, or added to a customer package after payment.
What it does
Helps the business follow what has been received and what is still due for appointments and customer packages.
What it connects to
It connects to an appointment or a customer's package. Appointments can have planned and received entries; customer packages list received amounts.
Do not confuse it with
A service that charges the customer, sends a refund or moves money through a bank. Nexora records payment information.
Example
The business records 1,000 lira due on Friday, then marks it received when the customer pays.

Commission

What it is
A staff amount calculated from a service or package rule after counted work, with a separate note when it is recorded as paid.
What it does
Helps the business calculate, follow and mark staff commission amounts.
What it connects to
It connects to a staff member, a service or package rule, and the appointment outcome.
Do not confuse it with
An automatic bank transfer or payroll payment. Nexora calculates and records the amount.
Example
A ten-percent rule on 500 lira produces a 50-lira commission record.

Notification

What it is
An in-app or device alert about a supported business event or reminder. Nexora can also turn appointment details into a ready WhatsApp message for the business to send.
What it does
Keeps the relevant user informed and helps the business share appointment information from WhatsApp.
What it connects to
It depends on the user, the event and, for a device alert, a working notification setting and device connection.
Do not confuse it with
A message sent without the business. The business reviews the ready WhatsApp message and presses Send; SMS, email and WhatsApp messages are not sent on their own.
Example
A user receives a device reminder, while the business opens a ready appointment message in WhatsApp and sends it.

Report

What it is
A dated summary built from information already saved in Nexora.
What it does
Helps the business review appointment details, customers, monthly revenue, services, staff performance, commission, referrals and customer patterns.
What it connects to
It depends on the business's saved records, the chosen date range and any selected filter.
Do not confuse it with
A bank statement, accounting forecast or information that was never entered in Nexora.
Example
The owner reviews monthly revenue for a chosen period and filters it by staff member.

Boundaries that affect daily use

  • Each business is independent; there is no separate branch structure inside a business.
  • A session is a package use, not a separate calendar item, and a pending appointment does not reserve or deduct that use.
  • Packages do not have start, end or expiry dates and cannot be frozen or transferred between customers.
  • A room is a named choice; it does not keep capacity or general equipment availability.
  • Payment and commission entries are records for follow-up; they do not move money automatically.
  • In-app and device notifications can be prepared automatically. Nexora also prepares appointment details as a WhatsApp message, but the business reviews and sends it; SMS, email and WhatsApp messages are not sent on their own.
