Payments and Receivables in Nexora

Nexora helps a business keep a clear payment record. It does not take money, charge a card, send a transfer or confirm that an outside payment succeeded.

A record is different from moving money

The business receives money through its own cash, card or transfer arrangement. Nexora stores what the business says was received, what is still due and what is planned for later.

Choosing Cash, Card or Transfer describes the business's record. Nexora does not contact a bank or card provider to prove that the payment arrived.

The person recording a payment must first check the real payment outside Nexora. A saved row means the business confirmed the record; it is not a bank receipt.

Planned, received and remaining

  • A planned payment is an amount expected later. It has not been received and does not count as collected income.
  • A received payment is an amount the business has checked and saved as received.
  • Paid means received records cover the expected total. Partial means some money is recorded but a balance remains. Unpaid means no received amount covers the total yet.
  • Completing an appointment does not automatically make it paid. The appointment can still be partial or unpaid.
  • A partial payment lowers the balance without closing it. The remaining amount stays visible until later received records cover it or an allowed package receivable is cancelled.

These rules keep payment records, real money and reports from being confused.

Nexora records payment; it does not move money

Nexora does not collect from a customer, charge a card or send a bank transfer. The business handles the real payment and then records it.

An outside payment is not verified by Nexora

A Cash, Card or Transfer choice is information on the record. Nexora does not ask the bank, terminal or cash drawer whether the payment succeeded.

Planned does not mean received

A planned amount is a reminder for a later date. It stays separate from amounts saved as received.

The business confirms a received payment

Staff should save a payment as received only after checking the real payment through the business's own method.

The payment method is record information

Cash, Card and Transfer labels explain how the business says it was paid. Selecting one does not start that payment.

Paid, partial and unpaid come from the records

Nexora compares the expected total with received payment rows. Enough received is paid, some is partial, and none is unpaid.

A partial payment leaves a balance

The received amount reduces what is due. Any uncovered amount remains a receivable.

Finishing the appointment does not finish payment

Appointment status and payment status are separate. A completed appointment may still have an unpaid or partial balance.

Service payments stay with the appointment

A service or stand-alone appointment receivable is settled by adding a received payment to that appointment's payment record.

Package payments stay with the package

Money received for a customer package is added to the package's own received-payment history, separate from stand-alone appointment payments.

Cancelling a package receivable is not a refund

The cancellation option closes the remaining package receivable in Nexora. It does not send money back, reverse a card charge or erase earlier received rows. This option is not offered for service or appointment receivables.

Planned payment is not collected income

Reports do not treat an amount planned for later as money already received.

Package collection uses the received date

Collected package money belongs to the report period containing the date each payment was saved as received.

Package sales count uses the purchase date

The number of packages sold in a period follows when each package was purchased. That date can differ from its payment dates.

Financial scope follows the access level

The Owner and Full Access Staff can use company-wide financial views. Standard Access Staff have their own financial summary and report scope. Restricted Access Staff do not see company-wide financial summaries and are limited to their own items when marking receivables paid. Operational payment lists can have their own staff filter.

WhatsApp stays under the business's control

For some planned-payment or remaining-package-balance notices, Nexora prepares text and opens the customer's WhatsApp chat. The business reviews or edits it and presses Send. Nexora does not send WhatsApp, SMS or email automatically or track delivery and reading.

Two separate payment histories

  • A service appointment keeps its own expected, planned and received payment rows.
  • A customer package keeps its received payments and remaining package balance in the package record.
  • Using a package in an appointment does not turn the appointment payment row into the package's entire sales income.
  • A package sales count can use the purchase date while a collection total uses payment received dates. The two views can therefore change on different days.
  • Older package histories can contain correction rows from earlier product behavior. The guide does not promise that every historical row must be positive.

Simple examples

  • Example only: A service costs 1200 TL. The business records 450 TL as received, so the status is partial and 750 TL remains due.
  • The appointment is marked completed. Its 750 TL balance stays because completing the work did not record another payment.
  • A package is purchased on 5 September 2026 and a payment is received on 18 September 2026. The sales count uses the purchase day; the collection view uses the received-payment day.
  • A package balance is cancelled after the business decides not to collect it. Nexora closes that remaining record but does not refund any money already received.
  • A planned-payment reminder opens a ready WhatsApp message. The staff member checks the text and presses Send in WhatsApp.

Frequently asked questions

Does Nexora collect customer payments?
No. The business receives the real money. Nexora stores the business's payment and receivable records.
Does choosing Card or Transfer prove the payment succeeded?
No. The method is record information only. The business must check its terminal, bank or cash process before saving the payment as received.
Does a planned payment count as income?
No. It is an amount expected later, not a received payment or collected income.
Can a completed appointment still be unpaid?
Yes. Appointment status and payment status are separate, so completed work can remain partial or unpaid.
What happens after a partial payment?
The received amount lowers the balance. The uncovered amount remains due.
Are package and appointment payments the same record?
No. Stand-alone service payments stay with the appointment, while package payments stay in the customer package's received-payment history.
Does cancelling a package receivable refund the customer?
No. It closes the remaining package receivable in Nexora. Any real refund must be handled by the business outside Nexora.
Why can package sales and package collection appear on different dates?
The sales count uses the package purchase date. Collection totals use each received payment's date.
Does Nexora automatically send payment messages?
No. For supported notices it prepares text and opens WhatsApp. The business reviews or edits the message and presses Send.
