How Packages Work in Nexora

A package is a set number of service uses that a business offers to a customer in Nexora.

The problem a package solves

A package lets the business agree a fixed service allowance with a customer and follow how much has been used and how much remains. It keeps package use, related appointments and payment records together without treating every planned appointment as already used.

Who uses packages?

  • The business owner and staff whose access allows it create and manage packages for customers.
  • Customers can view their own package balance and related appointments, but they cannot create, change, renew or remove a package themselves.
  • Businesses that work with repeated services or shared group plans can use weekly or monthly recurrence.

How a package works

The package in the catalogue describes the offer, including its service allowance and duration. When the business assigns it to a customer, Nexora creates that customer's own package record with total, used and remaining rights. Turning off the catalogue package controls whether that offer is available for new work; it does not mean every existing customer record is inactive.

A session means one use of the customer's package. It is understood from the package balance and package-linked appointments, rather than kept as a separate item. Completed appointments and Paid cancellation use a right. Waiting and Cancelled appointments do not reserve or reduce the balance.

A weekly or monthly repeat plan follows the time zone saved for the business. When the final right is used, Nexora can open the next package period if the business has suitable access at that time. If access is missing, the renewal can remain waiting until access returns.

Payment entries show amounts received and still due for the customer package. They do not collect money, issue a refund or move money between accounts.

These rules describe the behavior the current product follows.

The offer, customer record and use are different

The catalogue package describes what the business offers. A customer package is the copy assigned to one customer. A session is one counted use, understood from the balance and linked appointments rather than saved as a separate item.

Counted appointment outcomes use rights

Completed and Paid cancellation each use a right. Waiting and Cancelled do not count. There is no separate attendance or no-show outcome.

Waiting appointments do not reserve rights

The remaining balance comes from counted outcomes. A Waiting package appointment neither reserves a right nor reduces the balance.

Catalogue activity and customer activity mean different things

The catalogue setting controls whether the business can choose that offer for new work. A customer package stays active while it has remaining rights and closes when its balance reaches zero.

Packages do not have a validity window

A customer package has a purchase date, but no start date, end date or expiry date. Nexora does not freeze a package or transfer it from one customer to another.

Repeat plans use the business time zone

A repeating customer package can follow a weekly or monthly plan. Dates and times are worked out with the time zone saved for the business.

The last-right warning is prepared once

When a counted use leaves 1 right, Nexora prepares the remaining-right warning once for that package period.

A new period needs suitable access

When the balance reaches zero, a weekly or monthly repeat plan can open its next period while the business has suitable access. Without it, the renewal may remain waiting rather than disappearing.

Ending recurrence keeps waiting appointments

Ending recurrence stops later package periods. It keeps the current customer package and its Waiting appointments.

Closing the schedule removes waiting appointments

Closing a customer package schedule stops recurrence and removes all Waiting appointments linked to that customer package. The package record, counted history and payment information remain.

Removing everything has a wider effect

The full removal choice deletes the customer package, all of its linked appointments and its payment records. Past work and revenue totals can change, and this action cannot be undone.

The current balance can be corrected within limits

The current business screens offer a remaining-right correction for an active customer package with a positive balance. The corrected remaining count must stay positive and within the package's allowed amount; counted appointment history remains counted.

Payment and use are separate

A payment entry changes the amount received or due. Package use changes only when a linked appointment reaches a counted outcome. Nexora does not charge or refund the customer.

More than one active record is handled by the task

When an appointment is edited, the business chooses among multiple suitable active records. Some plan preparation starts with the newest active record, while a repeating group plan can stop and ask for the ambiguity to be resolved when it expects one match.

Real examples

  • A customer starts with 8 rights. 3 Completed appointments leave 5 remaining.
  • A Waiting appointment is linked to a package. The displayed balance stays the same until that appointment reaches a counted outcome.
  • A package appointment is cancelled after an amount was received. It becomes Paid cancellation and uses one right.
  • A repeat plan reaches zero remaining rights while the business has suitable access. Nexora can open the next weekly or monthly period.
  • The business ends recurrence but keeps the current schedule. Existing Waiting appointments remain, while later package periods stop.
  • The business closes the schedule. All Waiting appointments linked to that customer package are removed, while its record and payment history remain.

Limits to know

  • There is no start date, end date or expiry date for a customer package. The purchase date records when it was added; it does not begin a validity window.
  • A customer package cannot be frozen or transferred to another customer.
  • There is no separate attendance or no-show outcome, so Nexora does not apply a package result from a separate no-show choice.
  • Customers can view their package information but cannot manage, renew or remove it themselves.
  • Balance correction is offered by the current business screens only for an active record with a positive remaining count.
  • Payment entries are records for follow-up. They do not collect, refund or transfer money.

Cases that need extra attention

  • A customer has 2 remaining rights and 4 Waiting appointments. All 4 can remain on the calendar because Waiting appointments do not reserve rights; only counted outcomes reduce the balance.
  • A customer package is purchased on September 30, and an appointment is planned for October 2. The appointment is not rejected because the package has no expiry date.
  • A customer has 2 active records for the same catalogue package. Appointment editing asks the business to choose; some plan preparation begins with the newest active record; a repeating group plan that expects one match can stop until the ambiguity is resolved.
  • The catalogue package is turned off after it was assigned. It is no longer offered for new selection, while existing customer records are judged by their own remaining balance.
  • A repeat plan reaches zero while suitable business access is missing. Renewal can wait and be tried when access returns.
  • Choosing full removal after payments and completed work deletes the linked records and can change past and revenue views. It cannot be undone.

Does a Waiting appointment use or reserve a package right?
