Roles and Permissions in Nexora

A role says how a person is connected to a business. A staff access level then sets the wider limits for that business.

Role and access level are two different things

Nexora has three basic account roles: Owner, Employee and Customer. An Employee also has Full, Standard or Restricted access in each business where they work.

Full access is the broadest staff level, but the person remains an Employee. Nexora does not create a separate manager role, and ownership does not pass to that person.

The five views used in this guide

  • Owner: owns that business and has the widest control, including owner-only decisions.
  • Full Access Staff: can handle broad business work, but is not the Owner.
  • Standard Access Staff: can run day-to-day work and can see financial information within the limits below.
  • Restricted Access Staff: can still run day-to-day appointment and customer work, while wider financial and reporting views are reduced.
  • Customer: sees their own customer-side appointment and package information and does not manage the business calendar.

Permission matrix

Each row describes the current boundary for one business. 'Own' means the signed-in person's work in that business.

Account role and staff access level stay separate

Owner, Employee and Customer are the basic roles. Full, Standard and Restricted are access levels applied to an Employee within a business.

Full access does not transfer ownership

Full Access Staff can do broad business work, but owner-only decisions still belong to the Owner. There is no separate manager role.

Permissions are decided separately in each business

The same account can be an Employee in one independent business, a Customer in another and have a different staff access level elsewhere. One relationship does not change the others.

Appointments and the business calendar

Owner and all three staff access levels can view and manage the business's appointments and choose staff in the calendar. Restricted does not mean only that person's customers. A Customer sees only their own customer-side appointments and cannot create or change business appointments.

Customer records

Owner and all staff access levels can open the business customer list, add customers and update customer records. A Customer does not enter the business customer list; customer-side views stay limited to that customer's own information.

Deleting a customer record

Only the Owner and Full Access Staff can delete a customer record. Standard and Restricted Staff can update records but cannot delete them.

Receivables and planned payments

Owner, Full Access Staff and Standard Access Staff can use the staff scope offered for receivables and planned payment work. Restricted Access Staff keeps the operational payment views, but the company-wide staff picker is hidden and collecting receivables is limited to that person's own scope. Customers do not use these business payment views.

Revenue and financial summary cards

Owner and Full Access Staff can see company-wide financial summaries. Standard Access Staff can see revenue for their own scope. Restricted Access Staff does not see revenue, total appointment or receivable summary cards; the planned payment card remains available for work. Customers do not see business financial summaries.

Reports

Owner and Full Access Staff can use company-wide reports. Standard Access Staff can use reports for their own work. Restricted Access Staff and Customers cannot open business reports.

Staff commissions

Owner and Full Access Staff can configure commission rules and record commission payments. Standard and Restricted Staff can see their own commission summary when a commission is configured for them; they cannot pay or configure commissions. Customers cannot see commissions.

Staff list and staff management

All staff access levels can view the staff list. Owner and Full Access Staff can add, update or remove staff. Standard and Restricted Staff cannot manage the staff list, and Customers cannot open it.

Changing an existing staff access level

Only the Owner can change the access level saved for an existing staff member. Full access does not give that owner-only decision to an Employee.

Shared business settings

Owner and Full Access Staff can change shared general and customer-management settings. Standard and Restricted Staff cannot change those shared settings.

Personal working hours

Owner and every staff access level can keep their own working days, hours, normal appointment length and gaps. The calendar uses the settings of the person assigned to an appointment. Customers do not manage staff working plans.

Private appointment notes

The Owner can see and manage every private note attached to an appointment in the business. Staff at every access level see and manage only notes they wrote themselves. Customers cannot see private notes.

How the boundaries work together

  • Operational access and financial access answer different questions. Restricted Staff can work with the company calendar and customer records even though company revenue and reports are hidden.
  • Standard Staff can see their own revenue and reports. This does not turn them into Full Access Staff or the Owner.
  • A staff member may open another staff member's appointment for scheduling work. Payment details can still be hidden from Restricted Staff when the appointment is not their own.
  • The Customer view is a personal view. It does not provide the staff list, business reports, company customer list or business editing tools.
  • Private notes have their own rule: the Owner sees all notes, while each staff member sees only the notes they wrote.

Real examples

  • Ece has Restricted access. She can move a coworker's appointment and update a customer record, but she cannot open business reports.
  • Mert has Standard access. He can view his own revenue and reports, while company-wide financial control remains with the Owner and Full Access Staff.
  • Selin has Full access. She can manage staff and shared settings, but she is still an Employee and cannot take ownership-only decisions such as changing an existing staff member's access level.
  • The Owner opens an appointment and sees every private note. Ece opens the same appointment and sees only the private notes she wrote.
  • Mert works for two independent businesses. His access level and working plan can be different in each one.

Limits to remember

  • Restricted access is mainly a financial and reporting boundary; it is not a rule that limits staff to only their own customers.
  • Full access gives broad business control but does not transfer ownership or create a manager role.
  • A screen may combine operational and financial information. Nexora can leave the work tools visible while hiding financial totals.
  • Commission visibility depends on whether a commission is configured for that staff member; commission payment remains limited to Owner and Full Access Staff.

Is Full Access Staff the business owner?
