This catalog gathers the rules from Nexora's detailed product guides. Each short explanation comes directly from its guide, and each link opens the full context.

Appointments

The business controls changes

The owner and staff whose access allows it create, edit and cancel appointments. The selected record stays within that business.

Customers see their own appointment information but cannot create, move, edit or cancel an appointment.

The business sends the WhatsApp message

Nexora prepares a WhatsApp message from the appointment details and opens it for review. The business decides when to press Send; the message is not sent on its own.

There are four appointment outcomes

An appointment is Waiting, Completed, Cancelled or Paid cancellation. Attendance and no-show are not separate outcomes.

An ended waiting appointment completes

A filled appointment that is still Waiting becomes Completed after its saved duration has ended. Routine processing can apply the change later, so there is no exact-minute promise.

Package use follows the outcome

Completed and Paid cancellation count as one package use. Waiting and Cancelled do not reserve or deduct a package use.

The staff warning checks the same start time

For a standard appointment, Nexora warns when the selected staff member already has another standard appointment on the same date at the same start time. The business can confirm and place it anyway.

A group move has two choices

When the date or time of one group member's appointment changes, the business chooses whether to move only that member or every member in that group session.

Single and recurring deletions have different reach

The normal delete action removes only the selected appointment. Deleting a recurring plan removes every appointment that belongs to the same series, including records that are not in the future.

The saved duration stays with the appointment

The duration comes from the selected package or services when the appointment is saved. A later change to the catalogue does not change the duration of that existing appointment.

Packages

The offer, customer record and use are different

The catalogue package describes what the business offers. A customer package is the copy assigned to one customer. A session is one counted use, understood from the balance and linked appointments rather than saved as a separate item.

Counted appointment outcomes use rights

Completed and Paid cancellation each use a right. Waiting and Cancelled do not count. There is no separate attendance or no-show outcome.

Waiting appointments do not reserve rights

The remaining balance comes from counted outcomes. A Waiting package appointment neither reserves a right nor reduces the balance.

Packages do not have a validity window

A customer package has a purchase date, but no start date, end date or expiry date. Nexora does not freeze a package or transfer it from one customer to another.

Repeat plans use the business time zone

A repeating customer package can follow a weekly or monthly plan. Dates and times are worked out with the time zone saved for the business.

The last-right warning is prepared once

When a counted use leaves {oneRightWarning} right, Nexora prepares the remaining-right warning once for that package period.

A new period needs suitable access

When the balance reaches zero, a weekly or monthly repeat plan can open its next period while the business has suitable access. Without it, the renewal may remain waiting rather than disappearing.

Closing the schedule removes waiting appointments

Closing a customer package schedule stops recurrence and removes all Waiting appointments linked to that customer package. The package record, counted history and payment information remain.

Removing everything has a wider effect

The full removal choice deletes the customer package, all of its linked appointments and its payment records. Past work and revenue totals can change, and this action cannot be undone.

The current balance can be corrected within limits

The current business screens offer a remaining-right correction for an active customer package with a positive balance. The corrected remaining count must stay positive and within the package's allowed amount; counted appointment history remains counted.

Payment and use are separate

A payment entry changes the amount received or due. Package use changes only when a linked appointment reaches a counted outcome. Nexora does not charge or refund the customer.

More than one active record is handled by the task

When an appointment is edited, the business chooses among multiple suitable active records. Some plan preparation starts with the newest active record, while a repeating group plan can stop and ask for the ambiguity to be resolved when it expects one match.

Groups

A saved group can be empty

The customer list of a saved group may contain no one. This lets the business prepare the group name first and add members later.

The repeat choice controls future appointments

The business can choose a weekly plan, a monthly plan or no repeat. No repeat creates the chosen group appointment without starting a repeating schedule.

Every member keeps a separate balance

Appointments share the group schedule, but package rights, received amounts, amounts due and payment records belong to each member separately.

A new member joins later sessions

When a customer is added to a repeating group, Nexora prepares that customer's package and upcoming group appointments. It does not add the customer to past sessions.

Removing a member keeps completed history and money records

The normal removal action ends that member's group repeat and removes their Waiting appointments linked to the group. Completed history, received-payment records and an open amount due remain. A completely unused package record with no appointment or received payment may be cleared.

The upcoming schedule can be changed together

The business can change a repeating group's day, time or staff member for its upcoming Waiting appointments. Package rights and completed history are not rewritten as if the old work never happened.

A busy room causes a warning

When a chosen room is already in use at an upcoming time, Nexora shows who is using it and asks the business to confirm. The warning does not claim that the room has a fixed capacity or make the choice impossible.

Deleting the group removes the saved group record

The delete action removes the saved group itself. Nexora does not promise that this action also erases the members' appointments, packages, payment records or history.

Repeating packages renew member by member

Each member reaches the end of their own package at their own time. A suitable repeat plan can open the next period for that member without changing another member's package.

Large group plans may need to be smaller

A group can contain up to {maxGroupMemberCount} members. A single large repeat action also has a safe processing limit, so the business may need to reduce the number of members or sessions and try again. This limit is not a room-capacity promise.

Staff

Adding a phone number creates an invitation

Someone added with a phone number is not connected immediately. Nexora prepares an invitation, and the connection finishes only when the right person accepts it.

The invitation decision belongs to the invited person

Only the account linked to the invited phone number can accept the invitation. An invited person who is not yet staff can also reject it; another account cannot make that decision.

A waiting invitation can be cancelled

The business owner who sent the invitation can cancel it before it is accepted or rejected. A cancelled invitation no longer appears in the other person's waiting invitations.

Invitations have a time limit

A waiting staff invitation is valid for {invitationValidityDays} days. It cannot be accepted after that time; the business can send a new one if needed.

Each staff member has their own working plan

Working days, start and end times, normal appointment length and the gap between appointments are kept in that staff member's own settings.

Waiting appointments move to the owner when staff leave

When a staff member leaves or is removed, their Pending appointments in that business are assigned to the business owner. Dates and times stay the same, and the owner can later choose another staff member.

Roles and permissions

Full access does not transfer ownership

Full Access Staff can do broad business work, but owner-only decisions still belong to the Owner. There is no separate manager role.

Permissions are decided separately in each business

The same account can be an Employee in one independent business, a Customer in another and have a different staff access level elsewhere. One relationship does not change the others.

Appointments and the business calendar

Owner and all three staff access levels can view and manage the business's appointments and choose staff in the calendar. Restricted does not mean only that person's customers. A Customer sees only their own customer-side appointments and cannot create or change business appointments.

Customer records

Owner and all staff access levels can open the business customer list, add customers and update customer records. A Customer does not enter the business customer list; customer-side views stay limited to that customer's own information.

Deleting a customer record

Only the Owner and Full Access Staff can delete a customer record. Standard and Restricted Staff can update records but cannot delete them.

Receivables and planned payments

Owner, Full Access Staff and Standard Access Staff can use the staff scope offered for receivables and planned payment work. Restricted Access Staff keeps the operational payment views, but the company-wide staff picker is hidden and collecting receivables is limited to that person's own scope. Customers do not use these business payment views.

Revenue and financial summary cards

Owner and Full Access Staff can see company-wide financial summaries. Standard Access Staff can see revenue for their own scope. Restricted Access Staff does not see revenue, total appointment or receivable summary cards; the planned payment card remains available for work. Customers do not see business financial summaries.

Reports

Owner and Full Access Staff can use company-wide reports. Standard Access Staff can use reports for their own work. Restricted Access Staff and Customers cannot open business reports.

Staff commissions

Owner and Full Access Staff can configure commission rules and record commission payments. Standard and Restricted Staff can see their own commission summary when a commission is configured for them; they cannot pay or configure commissions. Customers cannot see commissions.

Staff list and staff management

All staff access levels can view the staff list. Owner and Full Access Staff can add, update or remove staff. Standard and Restricted Staff cannot manage the staff list, and Customers cannot open it.

Changing an existing staff access level

Only the Owner can change the access level saved for an existing staff member. Full access does not give that owner-only decision to an Employee.

Shared business settings

Owner and Full Access Staff can change shared general and customer-management settings. Standard and Restricted Staff cannot change those shared settings.

Personal working hours

Owner and every staff access level can keep their own working days, hours, normal appointment length and gaps. The calendar uses the settings of the person assigned to an appointment. Customers do not manage staff working plans.

Private appointment notes

The Owner can see and manage every private note attached to an appointment in the business. Staff at every access level see and manage only notes they wrote themselves. Customers cannot see private notes.

Customers

The customer record belongs to the business

The business creates and manages its own customer card. The person does not gain control of that business record by opening a customer account.

A customer record does not require an app account

A business can schedule work for a customer record even when no app account is connected. A phone number is optional on the business record.

Customers see only their own appointments

The customer view gathers the person's real appointments from connected businesses. It never opens another customer's appointment or the business's empty calendar slots.

Business records are read-only in the customer view

Customers cannot create or change business appointments, edit the business customer card, assign packages, record payments or manage the business calendar. The business handles those changes.

Customers never see private appointment notes

The Owner can see all private appointment notes. Staff see only notes they wrote themselves. Customers cannot see any of these private notes.

Removing a business customer record does not erase all history

The Owner or Full Access Staff can remove the record. Pending appointments are removed and recurring renewal stops, while completed and past appointments, completed packages, received payments and financial history are kept.

The same verified phone can connect again later

If an unlinked business record still has the same phone, a later registration or sign-in with that exact verified number can reconnect it to the account.

Payments

Nexora records payment; it does not move money

Nexora does not collect from a customer, charge a card or send a bank transfer. The business handles the real payment and then records it.

An outside payment is not verified by Nexora

A Cash, Card or Transfer choice is information on the record. Nexora does not ask the bank, terminal or cash drawer whether the payment succeeded.

Planned does not mean received

A planned amount is a reminder for a later date. It stays separate from amounts saved as received.

The business confirms a received payment

Staff should save a payment as received only after checking the real payment through the business's own method.

The payment method is record information

Cash, Card and Transfer labels explain how the business says it was paid. Selecting one does not start that payment.

Service payments stay with the appointment

A service or stand-alone appointment receivable is settled by adding a received payment to that appointment's payment record.

Package payments stay with the package

Money received for a customer package is added to the package's own received-payment history, separate from stand-alone appointment payments.

Cancelling a package receivable is not a refund

The cancellation option closes the remaining package receivable in Nexora. It does not send money back, reverse a card charge or erase earlier received rows. This option is not offered for service or appointment receivables.

Package sales count uses the purchase date

The number of packages sold in a period follows when each package was purchased. That date can differ from its payment dates.

Financial scope follows the access level

The Owner and Full Access Staff can use company-wide financial views. Standard Access Staff have their own financial summary and report scope. Restricted Access Staff do not see company-wide financial summaries and are limited to their own items when marking receivables paid. Operational payment lists can have their own staff filter.

WhatsApp stays under the business's control

For some planned-payment or remaining-package-balance notices, Nexora prepares text and opens the customer's WhatsApp chat. The business reviews or edits it and presses Send. Nexora does not send WhatsApp, SMS or email automatically or track delivery and reading.

Commissions

A commission rule has three modes

The business chooses None, Percent or Fixed for each staff member on a service or package.

None does not create an accrual

When the saved matching rule is None, Nexora skips it. It does not add a commission row with a zero amount.

Percent uses the saved base price

The saved percentage is applied to the service price or package session price kept with the appointment.

Completed work can create an accrual

When an assigned appointment reaches Completed, Nexora can create an unpaid commission accrual from its saved rule and price.

The accrual belongs to the assigned staff member

Nexora uses the appointment's assigned staff member and only their matching service or package rules. No assigned staff means no staff commission accrual.

Service and package sources stay distinct

A service rule uses that service and its saved price. A package rule uses the package and its saved session price. Their sources remain clear on the accrual.

Paid is a business record

Marking commission as paid records the amount, method and date and closes the selected accruals in Nexora. It does not send money to a bank account or payroll system.

Configured staff see only their own commission

A staff member with an active Percent or Fixed rule can see their own commission scope. It is read-only: they cannot pay their own or another person's commission.

A later status change has no general automatic reversal promise

Nexora appends an accrual when an eligible status is reached. The current product does not promise that reopening or changing that appointment later automatically deletes or reverses the existing accrual.

Notifications

A device notification needs the right setup

The recipient may need a Nexora app account, a current device registration and notification permission on that device. If one is missing, the device alert may not appear.

The main business action still counts

Creating or changing an appointment, package or payment record remains valid even when no notification reaches a device.

Accepted for sending does not mean seen

A sending service can accept a device message without proving that it appeared on the device or that the person read it. Nexora does not promise delivery or read tracking for these messages.

An alert inside the app can be closed

A banner or larger in-app message can be dismissed. Closing that alert does not undo the appointment, payment or other business record behind it.

The notification inbox is temporary

Notification records are removed after {retentionDays} days. The inbox is a short-term reminder list, not a permanent archive.

Zero minutes means the appointment time

A reminder setting of {appointmentTimeReminderMinutes} minutes does not turn reminders off. It means the reminder is due at the appointment time.

The business sends the WhatsApp message

Nexora prepares the text and opens WhatsApp. The business checks or edits the message and presses Send, so the final wording and decision remain with the business.

Appointment sharing starts with a ready chat

After a supported appointment action, Nexora can open the customer's WhatsApp chat with useful appointment details already prepared. The business can review and personalize them before sending.

A newly created appointment can produce an update with its useful details.
