Customers in Nexora

A customer card belongs to one business. An app account belongs to the person. Nexora connects the two only when there is a clear match.

Three things that should not be mixed up

A customer record is the card a business keeps in its own customer list. It can hold a name, phone number and the business's appointment and package relationship with that person.

A customer app account is the person's sign-in. The account can exist before any business adds that person, and a business can keep a customer record before the person has an app account.

The connection lets Nexora show the right business information in the person's customer view. It does not make the person part of the business staff or give them the business customer list.

How a customer record connects to an account

  • A business can create a customer record with a phone number or without one. A record without a phone number is still useful for business-side scheduling, but it cannot be matched to an app account by phone.
  • When a full phone number exactly matches an account, Nexora can connect the customer record to that account. A missing country code is not guessed; the stored international number can contain at most 15 digits.
  • Registration and sign-in check for business customer records that have the same verified phone but no account connection yet.
  • If a customer record is already connected to a different account, Nexora does not replace that connection by guessing.
  • Each business keeps its own customer record. The same account can therefore be connected as a customer to several independent businesses without those relationships being merged.

Customer rules

These rules explain the boundary between the business record and the person's customer view.

The customer record belongs to the business

The business creates and manages its own customer card. The person does not gain control of that business record by opening a customer account.

A customer record does not require an app account

A business can schedule work for a customer record even when no app account is connected. A phone number is optional on the business record.

Customers see only their own appointments

The customer view gathers the person's real appointments from connected businesses. It never opens another customer's appointment or the business's empty calendar slots.

Customers see only their own packages and payment summary

A connected customer can view their own package details, remaining sessions and package payment summary. Another customer's package stays closed.

The business decides whether appointment prices appear

The customer's appointment card follows that business's price visibility setting. A hidden appointment price does not give access to wider business finances.

Business records are read-only in the customer view

Customers cannot create or change business appointments, edit the business customer card, assign packages, record payments or manage the business calendar. The business handles those changes.

Customers never see private appointment notes

The Owner can see all private appointment notes. Staff see only notes they wrote themselves. Customers cannot see any of these private notes.

Removing a business customer record does not erase all history

The Owner or Full Access Staff can remove the record. Pending appointments are removed and recurring renewal stops, while completed and past appointments, completed packages, received payments and financial history are kept.

The same verified phone can connect again later

If an unlinked business record still has the same phone, a later registration or sign-in with that exact verified number can reconnect it to the account.

What the customer can see

  • Their own upcoming and past appointments from connected businesses.
  • The business, assigned staff, service and status shown on their own appointment.
  • Their own package, session and package payment information.
  • Appointment prices only when that business has chosen to show them.
  • A personal customer view rather than the business customer list, staff list, reports or company-wide finances.

What removal changes

  • Removing one business's customer record does not change the person's customer relationships with other businesses.
  • A business record removal closes future work for that record: Pending appointments are removed and recurring package renewal stops.
  • Past work is not described as fully erased. Completed appointments, completed packages, received payments and the business's financial history remain.
  • Deleting the person's app account is a different action. It removes the sign-in and the account connection, while business customer records remain with the businesses.
  • A later exact phone match can reconnect an unlinked record. Nexora does not promise that an old connection can never return while the same phone remains on the business record.

Simple examples

  • A studio adds Derya with no phone number. Staff can schedule her, but no app account can find that record by phone.
  • The studio later saves Derya's full phone number. When her verified account uses the exact same number, Nexora connects the record to her customer view.
  • Derya is also a customer of another independent business. She sees her own appointments from both relationships, while each business keeps a separate customer card.
  • Derya opens a package and sees her remaining sessions and payment summary. She cannot change the package or mark a payment as received.
  • Derya deletes her app account. The business record stays. If she later registers with the same verified phone, that unlinked record can connect again.
